| New Process | Comparison to Old Process |
|---|---|
PI submits a proposal intake form on OSPA’s website. |
Same Process |
An OSPA team member will be assigned to the proposal; the PI provides the budget, justification and scope of work to the OSPA team member for review per internal deadlines. |
Same Process |
The OSPA team member will initiate the proposal in KR, using the information supplied by the PI in the intake form. The PI will complete the sections of the KR proposal as needed based on the opportunity. The OSPA team member will enter a summary budget in KR once the budget spreadsheet is finalized. |
New Process; the proposal entry in Kuali replaces the OSPA proposal checklist |
When the personnel have all completed their certification in Kuali, the budget has been entered by OSPA, and a draft of the proposal documents are uploaded to Kuali, the proposal may be routed for the appropriate approvals by the OSPA team member. |
New Process; approval routing in Kuali replaces the OSPA proposal checklist signatures |
Once the proposal has been routed, the budget cannot be changed. If budget revisions are needed, the routing process will start from the beginning. However, other proposal elements may be changed (i.e. proposal narrative). If those are updated, it will notify any relevant stakeholders of the change so they may review. Approvals are granted within the KR system and automatically flow among the required approvers, which varies based on personnel, elements of the proposed work (i.e. construction), compliance requirements, etc. |
New Process; last-minute budget changes will delay proposal approvals; approval routing in Kuali replaces the OSPA proposal checklist signatures |
Once institutional approvals have been obtained, it will come back to OSPA for final submission. OSPA will submit the proposal in the sponsor-required format/system, then add confirmation to the proposal in KR and submit the KR proposal internally. This serves as dissemination. |
Proposal submission remains the same as it always has. Proposal dissemination in Kuali replaces the email dissemination that previously came from ospa@siu.edu. |
