Payroll Corrections-Student Wages

Student wage payroll corrections follow a different process than other salary corrections. These corrections use the Retroactive Account Adjustment (RAA) form and are processed through Student Employment. More detailed instructions on completing the RAA and business processes can be found here and here.

Key Deadlines

• 90-day deadline: All RAAs must be received by HR Payroll within 90 days after the effective pay period ending date
• Late submissions: RAAs received after the 90-day cutoff will be returned to the department

Steps for Completing Correction:

Step 1: Complete the RAA

Important things to note:

• One form must be completed per employee
• Multiple pay periods are allowed but they must be for the same disbursement period

Step 2: Required Signatures

• Fiscal Officer must sign
• Grant Account Assignee must sign (see step 4)

Step 3: Required Documentation

• Copy of the Assignment Costing
  • An updated Assignment Costing must be on file with Student Employment
• Copy of the Payroll Cert

Step 4: Route RAA and Supporting Documentation to OSPA for Approval

• The Grant Account Assignee will review and sign
• The Grant Account Assignee will forward to Payroll and Student Employment for processing
